How to write metadata sheets?

Account creation

The catalog is based on an authorization mechanism. Thus, the first necessary step is to create an account.

Click on the icon located on the top right part of the screen and follow the registration procedure.

There are three ways to authenticate yourself:

  1. The preferred option is to choose Edugain, which includes the majority of research institutions in the world. You can then use your usual identification system.
  2. Another good option to log in is to use the Orcid system because many people have an account of this type.
  3. Finally, you can also define an account on our system. You will then have to choose a login and a password (that you will have to remember…)

Editing role

In order to create a new record or modify an existing record, you must obtain the Editor role once your account has been created.

You must request this right:

  • To the project manager, if you are a member of the project
  • To the catalog manager or to another project manager, if you are a project manager.

Creating a new metadata entry

Once logged in, to create a metadata record simply click on the edit menu at the bottom right of the page and select the button marked with a plus sign.

A blank record is then created and editing it is done in the same way as for existing records.

Depending on the catalogue, an intermediary menu may appear to offer you a choice of several pre-filled sheet models.

Duplicating a metadata entry

When viewing a metadata entry, click on the edit menu at the bottom right of the page and click on the « Duplicate metadata » button. The contents from the original entry will be duplicated and you will then see multiple pencil buttons appearing next to the blocks that are editable.

You can then edit blocks (see « Editing a metadata entry » below)

Click on the « Save modifications » button at the bottom right of the page to confirm the duplication and exit the edition mode.

Editing a metadata entry

When viewing a metadata entry, click on the edit menu at the bottom right of the page and click on the « pencil » button. You will then see multiple pencil buttons appearing next to the blocks that are editable.

Click on the pencil next to the block you want to edit. A popup will appear and will allow you to modify or add information to the block.

Some blocks are more complex than others, and you might need additional help to edit them. You can find further information on how to proceed by clicking the « help » icon next to the title of the popup when editing a block.

Click on the « OK » button to validate your modifications.

Click on the « CANCEL » button to cancel your modifications.

Once the popup closes, you can click on another pencil to edit another block.

Once you are done with all your changes, click on one of two buttons at the bottom right of the page :

  • « Save modifications » : this will validate the changes and exit the edition mode.
  • « Cancel modifications » : this will dismiss all the changes you have made to the entry and they will all be lost. This will also exit the edition mode.

Deleting a metadata entry

When viewing a metadata entry, click on the edit menu at the bottom right of the page and click on the « Delete metadata » button (bin icon with a red background).

Click on « DELETE » to confirm.

Click on « CANCEL » to cancel.

Use case : how to handle massive modifications

Sometimes, you have to make multiple changes throughout numerous entries in the catalogue.

In such cases, it is often quicker to contact the SEDOO instead of editing the entries one by one by yourself.
